How do personal trainers stop clients cancelling at the last minute?

Sell sessions as packages paid up front, agree a notice rule before the first session (for example, a session cancelled with less than a set notice counts as used), and send a reminder with a rebook link before every session. As a sole trader, an hour lost at short notice is an hour you rarely get back.

Why it happens to personal trainers.

Pay-as-you-go makes skipping easy
If a client pays at the end of each session, not turning up costs them nothing and costs you the hour.
Bookings live in WhatsApp
Times agreed in a chat get no reminder and no written rule. A “can we move it?” message an hour before feels normal.
Early mornings and evenings
Your busiest slots are before and after work, which is exactly when clients’ plans change. A lost 6am slot can’t be resold.
Travel time counts too
If you train clients at home or in a park, a no-show can waste the travel as well as the session.

What to do, in order.

  1. Move to packages

Blocks of sessions, paid before the first one. Clients who’ve paid are more likely to turn up.

  2. Write your notice rule

How much notice you need to move or cancel, and what happens if they don’t give it. Keep it fair, put it in writing and have clients agree before starting.

  3. Book through a link, not a chat

Send your booking link instead of agreeing times in messages, so every session gets a confirmation and a reminder.

  4. Remind the day before

A text with the time, the place and a rebook link. An early cancel lets you offer the slot to someone else.

  5. Take bookings and deposits online

Online Booking & Deposits sets up booking, payment for packages or a deposit, reminders and your rules on your website.

What notice should a personal trainer ask for?

Many trainers use 24 hours, but choose what fits your diary and clients, and say it clearly before the first session. A rule people agreed to up front is much easier to apply.

Should I charge for late cancellations?

With packages, the simplest way is that a late cancel counts as a used session. Make the rule fair and clear, and use your judgement for genuine emergencies.

What does online booking cost to run?

Online Booking & Deposits is a fixed £1,800. The booking tool’s monthly fee and card fees are paid directly by you, and listed before you agree. The no-show cost calculator shows what late cancels cost you now.
